Print Notification Letters

Loan Performer has the functionality for printing of notification letter for the purpose of notifying the clients of any pending issues with the organisation stating what the is due to company and how they are to respond.

Loan Performer gives the possibility to create templates for and to preview and print Notification letters as well as labels for these letters for clients in arrears.

How to Print Notification Letters

To print notification letters you go to Loans\Portfolio Reports\Reports on Dues\Print Notification Letters and a screen that looks as follows will appear:

• Template Label: On the first page (Templates tab) you define the titles of the letter e.g. Notification Letter 1 To 30 Days Arrears as seen above.
• Arrears>= ..... <: .... Days: Indicate the number of days for which a loan in arrears is to be printed e.g. if the loan is between 1 and 30 days late at Arrears >=
• Print No. of copies: Show the number of copies of the Notification Letters to be printed.Then you press the 'Add' button'. The letter is now added to the list of templates, but you cannot print it yet. You first have to define the contents.

Click on the Contents page to define the contents of the letter. The screen looks as follows:

• "Dear "Client Name" , "This is to remind you that a total of",  "Due Amount in Words" "is in arrears at (Day start of arrears): "
• "You are supposed to pay the stated amount immediately to avoid further penalty as per the agreement signed between you and our organisation.
• Lines 13 and 14 could be left blank to feed in the signature and name of the person producing or meant to sign the notification letters

Then click on Save button.

• From the illustration above, the next information is on line number 5: "Dear "Client Name" ,
• Line 6 enter information like: "This is to remind you that a total of", (make sure there is a space after "of". Then choose the "Due Amount" from the combo box.
• Line 7 has the amount due in words. Now skip one line, because the "Due Amount in Words" might take up some space.
• Click on line 9 and type: "is in arrears at (Day start of arrears): "
• On line 11 and 12, you type: "You are supposed to pay the stated amount immediately to avoid further penalty as per the agreement signed between you and our organisation.
• Lines 13 and 14 could be left blank to feed in the signature and name of the person producing or meant to sign the notification letters

Then click on Save button

• If you are familiar with Visual Foxpro, you can use more macros than the ones that are available here. For instance you can also use '#DTOC(DATE())#" to insert the computer system date or #DTOC(p_lastday)# to insert the login date.
• After having created the letter contents, you can go back to the first page and run the report.
• You can click on the View command button to view the report before you can print it. The report will look as follows:
• choose to print the letter first and in a second run, you can choose a label size and print the label (to put on the envelopes).

Choose Preview first to check whether everything is correct.
